VAT Returns Made Simple: A Guide for Small Businesses in Kent

VAT is one of those topics that small business owners either ignore until forced to deal with it, or worry about constantly without fully understanding it. Either approach causes problems. This guide walks through how VAT returns actually work, when you need to register, and the common mistakes that lead to HMRC enquiries.

When Do You Need to Register for VAT?

The current VAT registration threshold is £90,000 in taxable turnover over any rolling 12 month period. That's not your accounting year - it's any consecutive 12 months. The moment your taxable turnover crosses that line (or you expect it to in the next 30 days), you must register.

You can also register voluntarily below the threshold. This makes sense if:

  • Most of your customers are VAT registered businesses who can reclaim it
  • You have significant input VAT to recover (e.g. heavy equipment or stock purchases)
  • You want to appear more established to clients and suppliers

Voluntary registration is a poor idea if you sell to consumers, because you've effectively just made your prices 20% higher overnight.

How VAT Returns Actually Work

Most businesses file VAT returns quarterly. You add up the VAT you've charged customers (output VAT) and subtract the VAT you've paid on business purchases (input VAT). The difference is what you pay HMRC, or what they refund you.

Under Making Tax Digital (MTD), VAT returns must be submitted using compatible software. Spreadsheets and manual entry on the HMRC portal are no longer permitted for most businesses. Software like Xero, QuickBooks and Sage handles this automatically once it's set up properly.

Choosing the Right VAT Scheme

Not all VAT schemes are equal, and picking the wrong one can cost you money or create cash flow headaches.

Standard VAT Accounting

You account for VAT on the date of the invoice, regardless of when you're paid. Simple but tough on cash flow if customers pay slowly.

Cash Accounting Scheme

You only account for VAT when money actually changes hands. Brilliant for businesses with long payment terms or bad debt risk. Available if your taxable turnover is under £1.35 million.

Flat Rate Scheme

You pay a fixed percentage of your gross turnover to HMRC and keep the difference. Worked well for service businesses with low input VAT, though changes to the 'limited cost trader' rules have reduced its appeal. Worth modelling carefully before choosing.

Annual Accounting

One return per year with monthly or quarterly payments on account. Less admin but you need disciplined budgeting.

Our bookkeeping services include VAT scheme reviews so you're not stuck on the wrong one for years.

Common VAT Mistakes That Trigger Enquiries

Reclaiming VAT on Entertainment

Client entertainment VAT is not reclaimable, period. Staff entertainment is, within limits. Mixing the two is one of the fastest ways to get an HMRC nudge.

Getting Mileage and Fuel Wrong

Fuel reclaims need to be supported by VAT receipts and adjusted using the fuel scale charge if there's any private use. Most business owners either over-claim or don't claim at all.

Missing the Reverse Charge

Construction industry businesses must apply the domestic reverse charge to most B2B services. Get this wrong and your VAT return is incorrect even if the total is right.

Late Filing and Late Payment

HMRC's penalty regime now uses a points system. Each missed deadline earns a point, and once you hit the threshold you get a £200 fine plus interest on unpaid VAT. The points decay after a period of good compliance, but it's far easier just to file on time.

Should You Outsource Your VAT?

If VAT eats up hours of your time every quarter, or if you've ever filed a return and crossed your fingers it was right, it's worth getting professional help. A good accountant catches errors before they reach HMRC, picks the right scheme for your business, and frees you up to focus on what you actually do well.
